On-Call Scheduler
A live on-call calendar for every service, with the numbers to reach each person. AI finds coverage gaps and drafts fair fills for you to approve, the conflict check catches double bookings, the switchboard sees who is on right now, and clinicians get their shifts in their own calendar.
- Gap Detector finds every uncovered hour before it becomes a 2 a.m. problem
- Smart Scheduler drafts fair fills, and nothing changes until you approve
- Who's On-Call view for the switchboard, plus a phone directory for every group
- Private calendar feed for Apple Calendar, Google Calendar and Outlook
Gap Detector, Natural Language questions, Workload Fairness and Smart Scheduler.
Drafts assignments from one to four weeks out, labelled for review before anything is applied.
Pick a service and see who has it right now and until when, or who is up next. The page refreshes itself.
Clinicians subscribe once and their shifts stay current in the calendar they already use.
Set up groups and rosters
Each service is a group with its own members, managers and notes. Members keep their own cell and home numbers, so the directory stays current without a coordinator.
Find and fill the gaps
Gap Detector lists every uncovered hour. Smart Scheduler proposes who should cover it, weighing who has already carried nights, weekends and holidays. You accept or discard each suggestion.
Reach the right person
The switchboard opens Who's On-Call for the service and sees who has it now, with numbers in the group roster. Clinicians see their shifts in their own calendar.
Month, week and list views
Every group on one calendar, filterable, with repeating events: daily, weekly or every two weeks. Each event records who is on, the area and any notes.
Conflict check
Overlapping assignments are flagged before you save, so nobody is double booked across services.
Workload fairness
A 0 to 100 fairness score per group shows how evenly nights, weekends and holidays are spread, before and after you apply changes.
Notifications that matter
People are told when they are assigned, when a shift changes or is cancelled, and before it starts.
Coverage reports
Coverage rate, coverage gaps, coverage by group and by person, top contributors and events over time.
HIPAA audit trail
Every schedule change, applied AI suggestion, roster and access change and data export is recorded, with who and when.
Every uncovered hour, listed
Gap Detector scans next month and finds the 48-hour hole in Cardiology's holiday weekend, plus a two-hour handoff gap nobody had noticed.
Fair fills, drafted for your approval
Smart Scheduler proposes who should take each shift and says why. Nothing changes on the calendar until you accept it, and every applied change is audited.
Double bookings caught before they happen
Add or change an event and the conflict check flags any overlapping assignment for the same person, with the details to fix it.
One screen for the switchboard
At 2 a.m. the operator opens Who's On-Call, picks the service, and sees who has it right now and until when. The number is one click away in the roster. No binder.
Shifts in the calendar clinicians already use
A private subscription link puts each clinician's on-call shifts in Apple Calendar, Google Calendar or Outlook, and keeps them current.
Questions
Does the AI change the schedule by itself?
No. Smart Scheduler drafts suggestions labelled "Review before applying". Nothing changes until a scheduler accepts it, and every applied suggestion is recorded in the audit trail.
How do clinicians see their shifts?
In My Schedule, and in their own calendar through a private iCal link that works with Apple Calendar, Google Calendar and Outlook.
Is there a mobile app?
Clinicians subscribe to their calendar feed on their phone, and the Who's On-Call view works in any mobile browser. There is no separate On-Call app to install.
Who can change the schedule?
Roles are Viewer, Editor, Manager and Admin, and access can be granted per group, so a department can manage its own rotation without touching anyone else's.
Walk through it before you talk to us
Follow a medical staff office from a month with holes in it to full coverage, and see what the switchboard sees at 2 a.m. Then we will load your own groups.
